Tenancy and Lease Management

Collection of rental and lease payments is always a headache for property owners, especially given the fact that they are busy attending to other businesses. Capital Properties takes up this responsibility from the landlords/ladies by providing effective lease and tenancy management to maximize returns on investment. When the property owners are sure of the flow of their return on investment through steady flow of rental fees into their accounts, they can easily start up other investments.  Our tenancy and lease management services include; 

  • Before any tenant moves in, we prepare a legally enforceable Tenancy Agreement
  • We conduct a thorough inspection of the property and complete a detailed written report, including photos, of the condition of the property (including fittings and fixtures) prior to the commencement of the tenancy.
  • We collect rental and leasing fees from the tenants/leasers and remit to the property owner
  • We take a very close attention to minimize losses to rental arrears. Regardless of the care taken, on very rare occasions, tenants fall into arrears. When this occurs a set procedure is instigated to ensure tenants who no longer afford the property or pay in time vacate and the property is re-listed as available on our website.
  • Lease renewals and rent reviews: the renewal of a fixed term lease is generally at the discretion of the property owner. Prior to the expiry of a fixed term tenancy, we email you with our recommendations regarding an appropriate current fair market rental and the conduct of the tenant and seeking your instructions regarding the renewal of the tenancy.
  • Conducting final inspections at the end of the tenancy agreement or when a tenant notify us of intention to end his/her tenancy. We provide a final inspection report and ensure the tenant vacates and clear the property of personal belongings before it is listed again.
  • Payment of a security bond in value of one month rent that is used to fix any damages committed on the property by the tenant. The final inspection report will estimate costs and once all damages are fixed, the security bond is refunded either in full or balance based on the inspection report.  
  • Searching for new tenants as soon as a property become vacant or when we are notified by the current tenant of intention to end tenancy.
  • We use systems and software to manage properties. Our systems create property profiles, assign agents, track rental payments, utility bills, and produce monthly and annual sales reports.
